Key Components for Maximizing Video Conferencing Investments: Processes (Part 2 of 4)

Making telepresence and video conferencing an integral part of business operations requires the alignment of 4 key areas – people, processes, technology and education.  We previously discussed how assigning people to champion the video adoption strategy can make a significant difference; now let’s take a closer look at the processes that can be implemented to measure and expand video usage.  “Process” can be broken down into two components:

  1. The business practices that support the optimal use of video
  2. The methodology used to measure tangible benefits of video and the associated ROI.

As with any new technology, to support the optimal use of telepresence and video conferencing, it must be easy for employees to use it right from the start.  Having good processes in place that make it easy to reserve video conferencing rooms, schedule video calls and learn the day-to-day operation of the systems is key to facilitating rapid adoption of video usage because if its not easy the first time, employees are less likely to try it again.  This is critical because rapid adoption increases the return on investment (ROI).

Processes aren’t just limited to making video easy to use.  Some companies seeking to reduce travel have required employees to justify why meetings can’t be done over video when making travel reservations on the corporate travel site.

Setting goals and having metrics and tools to measure performance is instrumental to ensuring the success of any video deployment. People need to see the results of their efforts and a robust management suite and ROI tools make it easy to calculate financial, productivity, and environmental savings – among other things – which can increase excitement about learning the new technology.

By the understanding of the goals of your video deployment and the metrics that measure performance toward those goals, it becomes much easier to implement new processes and refine existing processes so you can ensure a successful telepresence and video conferencing program.
